Consumer Health Data Privacy Policy

Unleash Your ADHD, LLC ("we," "us," "our") provides this policy as required by the Washington My Health My Data Act. It describes how we collect, use, share, and retain consumer health data, and the rights you have over it.
The Insight Crew is a service of Unleash Your ADHD, LLC. This policy covers consumer health data we collect as a coaching provider. It does not describe data that other coaches collect from their own clients using The Insight Crew, for which those coaches are responsible.
Categories of consumer health data we collect
- Information you tell us about your mental or behavioral health, including any diagnoses you choose to share with us
- Information about health care services you receive or have received, including whether you are working with a therapist, psychiatrist, or physician
- Information about medications you tell us about
- Information about sleep, energy, stress, and daily functioning that you share with us
- Notes and session summaries recorded by your coach describing what you discussed
- Audio and video recordings of sessions, and transcripts generated from them, where you have consented to recording
Sources of consumer health data
- Directly from you, through consultations, coaching sessions, intake conversations, email, and messages
- From session recording and transcription software, where you have consented to recording
Purposes for collecting and using consumer health data
- To provide coaching services to you
- To prepare and keep session summaries, so that our work with you is continuous across sessions
- To determine whether coaching is appropriate for you and whether to refer you to other support
- To keep business records
- To comply with legal obligations
Where you have separately consented to it, we also use consumer health data that has been de-identified, so that it is no longer linked or reasonably linkable to you, for quality assurance, training, and the development and improvement of our programs and services. This consent is separate from your agreement to work with us, you can decline it without affecting your coaching, and you can withdraw it at any time. We do not attempt to re-identify de-identified data.
We do not use consumer health data for advertising or marketing. We do not sell consumer health data.
Categories of consumer health data we share
We do not share consumer health data except:
- With service providers who process it on our behalf under contract, listed below
- With a health care provider or any other third party, only when you give us specific written authorization
- When required by law
Categories of third parties and specific affiliates we share with
Service providers who process consumer health data on our behalf:
- Fathom Video Inc. — session recording, transcription, and summary generation
- Google LLC — email and file storage
- Cloudflare, Inc. — data hosting and storage
- Postmark (ActiveCampaign, LLC) — transactional email delivery
- Stripe, Inc. — payment processing
We have no affiliates. We do not sell consumer health data to anyone.
How long we keep consumer health data
- Session recordings and transcripts. We delete the audio and video recording of a session, and the transcript generated from it, within one week of that session.
- Session summaries and notes. We keep these for three years after our work with you ends, and then we delete them. If the law requires us to keep something longer, we will, and only for as long as it is required. You can ask us to delete them sooner at any time, and we will, subject to the exceptions described in the law.
- De-identified session content. Once content has been de-identified so that it is no longer linked or reasonably linkable to you, we may keep it indefinitely for the purposes described above. Because de-identified content is no longer connected to you, we cannot retrieve or delete your individual contribution to it after de-identification.
Recording is voluntary
You do not have to be recorded. Recording requires your consent, which you give separately from your agreement to work with us, and you may decline it or withdraw it at any time without affecting your coaching. If you withdraw consent, we stop recording from that point forward, and we delete any recording we still hold. Content already de-identified cannot be withdrawn, because it is no longer connected to you.
Your rights
You have the right to:
- Confirm whether we are collecting, sharing, or selling your consumer health data, and to access that data, including a list of all third parties with whom we have shared it
- Withdraw your consent to our collection and sharing of your consumer health data
- Have your consumer health data deleted
To exercise any of these rights, contact support@unleashyouradhd.com. We will respond within 45 days. If we need more time, we will tell you why and may take up to 45 additional days.
If we deny your request, you may appeal by contacting support@unleashyouradhd.com. If we deny your appeal, you may submit a complaint to the Washington State Attorney General at www.atg.wa.gov/file-complaint.
How we protect consumer health data
We restrict access to consumer health data to those who need it to provide services to you, and we use administrative, technical, and physical safeguards to protect it.
Changes to this policy
We will post any changes to this policy on this page and update the effective date.
